Introduction
DeckPilot Ops ("DeckPilot", "we", "us") builds an AI operations agent that connects to the tools your company already uses, watches your workflows, and handles routine operational work with your approval. This policy explains what information we collect, how we use it, who we share it with, and the choices you have.
It applies to our website at usedeckpilot.com, our early access waitlist, and the DeckPilot Ops service (together, the "Service"). If you do not agree with this policy, please do not use the Service.
DeckPilot Ops is currently pre-launch. Today, the only information we collect is what you give us through the website and the waitlist. The sections on connected tools and workflow data describe how the Service will operate once it opens.
Information we collect
Information you give us
- Waitlist and contact details. Your email address when you join the early access list, and anything you send us when you write to us.
- Account details. Once the Service opens: your name, work email, company name, role, and preferences you set in the product.
Workflow data from connected tools
When you connect a tool, you authorize DeckPilot to read, and where you allow it, act on data in that tool. Depending on what you connect, this can include:
- Messages and channel metadata from Slack or similar tools.
- Email and calendar content and metadata from Gmail, Google Workspace, Microsoft 365, or Outlook.
- Tasks, tickets, projects, and statuses from tools such as Asana, Jira, Linear, Monday.com, or Notion.
- Contacts, deals, and records from tools such as HubSpot or Salesforce.
- Rows and cells from spreadsheets such as Google Sheets or Airtable.
We ask each tool for the narrowest access that lets a feature work. Access follows the permissions of the user who connected it, and the agent only sees what that user is allowed to see.
Activity and usage information
- Agent activity. A log of what the agent detected, suggested, drafted, sent, and what you approved or declined.
- Device and log data. IP address, browser type, device information, pages viewed, and error reports.
How we use your information
- To provide the Service: build your control deck, detect bottlenecks, route approvals, draft follow-ups, compile reports, and answer your questions.
- To keep the activity log that shows everything the agent has done.
- To email you about early access, product updates, and your account.
- To maintain, secure, and improve the Service, and to detect and prevent fraud or abuse.
- To meet legal obligations.
We do not use your connected-tool data to advertise to you.
AI and your data
DeckPilot uses AI models to read workflow data, spot patterns, and write drafts. How we handle that:
- No model training on your data. Your data is not used to train AI models, ours or anyone else's.
- Providers are bound by contract. Where we send data to an AI model provider to run a feature, that provider may process it only to return a result to us, and may not use it to train its models.
- Your data stays yours. What the agent learns about how work moves in your company is used only for your workspace, not for other customers.
- You approve external actions. By default, the agent asks for your approval before it sends anything outside your company. You can choose to let it handle specific task types on its own, and you can switch that off at any time.
- Read-only mode. You can run DeckPilot so it observes and reports but changes nothing.
Data security
We use technical and organizational measures designed to protect your information, including encryption of data in transit and at rest, role-based permissions inside the product, and restricted internal access to customer data. Connection credentials for third-party tools are stored in encrypted form.
No system is perfectly secure. If we learn of a breach that affects your information, we will notify you as required by law.
Data retention
- Waitlist emails are kept until you ask us to remove them or until we finish contacting early access users, whichever comes first.
- Account and workspace data is kept while your account is active.
- Data from connected tools is kept only as long as needed to run the features you use. When you disconnect a tool, we stop reading from it and delete the data we pulled from it within a reasonable period.
- After you close your account, we delete your data, except what we must keep to meet legal obligations or resolve disputes. Backups are removed on their normal rotation.
- Logs are kept for a limited period for security and debugging.
Your choices and rights
Subject to where you live, you can ask us to:
- Give you a copy of the personal information we hold about you.
- Correct information that is wrong or incomplete.
- Delete your information, including removing you from the waitlist.
- Export your data in a portable format.
- Stop processing your information, or withdraw consent you gave earlier.
You can also disconnect any tool at any time from inside the product, which revokes DeckPilot's access, and you can unsubscribe from marketing email using the link in any message. To make a request, email hello@usedeckpilot.com. We may need to verify your identity first.
Children's privacy
DeckPilot is built for businesses and is not intended for anyone under 16. We do not knowingly collect information from children. If you believe a child has given us personal information, contact us and we will delete it.
International data transfers
We and our providers may process information in countries other than your own. Where we transfer personal information across borders, we use appropriate safeguards, such as standard contractual clauses, as required by applicable law.
Changes to this policy
We may update this policy as the Service develops. We will post the new version here with a revised "Last updated" date. If a change materially affects how we handle your information, we will tell you by email or in the product before it takes effect.
